[-] How to get County to comply with their own rules - Constance Foye/VA (8 replies)
2/9/2008 12:16:55 PM (2477 views)

I don't know about other counties, but those of you who do work in Prince William County, VA will probably understand.  A few years back, when they went from Bk/Pg references to instrument numbers, those numbers were printed on little stickers with little bitty text.  The text that comprises the Instrument number and the recording date is so small, that often I have to refer to the index when I write my report.  It is difficult to read on the screen, harder to read once it is printed.  When faxed just once, it's impossible for the recipient to read.  This has resulted in countless incorrect c/s's and assignments being put to record when referring to a prior document.  Eights are mistaken for 9's or 0's or 5's, etc.  This means that, technically, that document is useless and needs a correction filed.  I have had to resort to handwriting each and every 15 digit Instrument # on every copy I send out, hoping and praying that the next person who uses that number as a reference will get it right and save us all time later on, the next time we do a search...
Prince William County just got a new clerk.  It was brought to her attention that while we have requirements on how large the text is on the documents we record, but they are able to put the most minute text possible on an enourmously important part of the document.
Loudoun County had the same system until a couple of years ago, but in the past couple of years, mananged to print stickers with much larger Instrument numbers, saving tons of time and unnessessary corrections.
I don't know if the Clerk in Prince William will do anything about this or not.  What I am wondering is, if she chooses not to, do we have any recourse?  Is there someone we can contact to have this changed?  Who, exactly, is "over her head"?  Sorry to take up so much space on this - it has just been driving me crazy for a while now...
